Session options

Global options for sessions can be set at Admin > Settings > Sessions. These settings act as defaults for new sessions: most can be overridden on a per-session basis when creating or editing a session. See Creating sessions for per-session options.
Available options
Booking Confirmation Message
The booking confirmation message allows you to customise the message shown when a user confirms their booking. You can use this area to add a disclaimer or terms of the booking.
Default Passes
Allows you to set the passes that will be valid for new sessions when they are created.
This will not change existing sessions, but will be used for any new sessions created.
Allow Coach Bookings
When enabled, members with the Coach role can book on to a session as a coach. The number of coach spots can be configured per session using the Coaches Required field. This toggle must be enabled before the Coaches Required field will appear when editing a session.
Show Bookings
When enabled, the list of users booked on to a session will be shown to all logged in users.
Default Booking Window
The default booking window used when creating a new session. The value is the number of days before a session that bookings can be made. You can also set the time of day that the booking window opens.
Default Booking Window Closes
The default number of hours before a session starts that the booking window closes. When set to 0, the booking window will remain open until the session has ended (or the Late Booking Window takes over).
Default Late Booking Window
The default number of hours after a session ends that a retrospective booking can still be made. This is useful for recording attendance or taking payment after the fact — for example, when a member attended a drop-in session they weren't booked onto. Set to 0 to disable retrospective bookings entirely. This value is used as the default when creating a new session and can be overridden per-session.
Default Cancellation Window
The default cancellation window used when creating a new session.
Default Refund Window
The default number of hours before a session starts within which cancellations will automatically receive a refund. When set to 0, refunds can be issued at any time up until the session begins. This is used as the default when creating a new session and can be overridden per session.
Days To Label As New
Sets how long a session will be labeled as New after it is created. Set this value to 0 to hide the New label.
Booking Profile Fields
Selects the member profile fields that will be displayed on booking summaries and included in the bookings export. This is useful for capturing key member information — such as emergency contact or medical details — alongside each booking record.
