Making a booking

Preview feature

Facility hire is currently in preview. Some features may change before general availability.

Members can browse and book facilities directly from the ClubPal website. A ClubPal account is required to make a booking.

Browsing facilities

Go to Facility Hire in the navigation to see all available facilities. You can filter by category to narrow down the list.

Each facility card shows the name, location, amenities, and any photos uploaded by the club. Click a facility to see the full details.

Choosing a date and time

On the facility detail page, select a date to see the available time slots for that day.

Available start times are shown based on the facility's opening hours for that day. If no slots appear:

  • The facility may be closed on that day of the week.
  • The facility may have a blockout covering the selected date.
  • All slots may already be booked.
  • The date may be outside the facility's advance booking window.

Selecting a duration

When you click an available start time, you are shown the duration options for that slot. Only durations that fit within the remaining time before the facility closes (or before the next booking) are shown.

For example, if a facility closes at 22:00 and you pick a 21:15 start time, only durations of 45 minutes or fewer will be available.

Each duration shows the price based on your membership. If your membership package has a discounted rate, it is applied automatically.

Terms and conditions

Some facilities have terms and conditions that you must accept before completing your booking. Read and tick the acceptance box to proceed.

Applying a discount code

If you have a facility hire discount code, you can enter it at checkout before paying. The discount is applied to your total.

note

Session booking codes and other discount codes do not apply to facility bookings. Only facility hire specific codes are accepted.

Completing payment

Once you confirm your booking, a slot hold is created while you complete payment (the checkout window is configurable by the club; the default is 15 minutes). During this time the slot is unavailable to other members.

Pay in full using your club's configured payment method. Once payment is received your booking is confirmed and you receive a confirmation email with your booking reference, facility name, date, time, and duration.

If you do not complete payment within the checkout window, the hold is released and the slot becomes available again.

Viewing your bookings

Go to My Account > My Bookings to see all your facility hire bookings. Each booking shows the reference number, facility, date, start and end time, and current status.

Cancelling a booking

To cancel a confirmed booking:

  1. Go to My Account > My Bookings.
  2. Find the booking and click Cancel.
  3. Optionally enter a reason, then confirm.

You can only cancel a booking if the facility's cancellation window allows it. If the start time is within the cancellation window (for example, within 24 hours), cancellation may not be available and you should contact the club directly.

Whether a refund applies to your cancellation depends on the facility's refund window:

  • If you cancel with enough notice (outside the refund window), a refund is due.
  • If you cancel within the refund window, your booking is non-refundable.

The refund policy is shown during cancellation. Contact the club if you have questions about your refund.

Check the facility's cancellation and refund policy before booking. These vary per facility and are shown on the facility detail page.

Email notifications

You will receive email notifications for:

  • Booking confirmation — sent when your booking is confirmed (immediately after payment, or when an admin creates a booking on your behalf).
  • Cancellation — sent when your booking is cancelled. The email indicates whether a refund is due.
  • 24-hour reminder — sent the day before your booking at 08:00 UTC.
