Invite members

Invite members to create a ClubPal account at your club. When you send an invitation, the recipient receives an email with a magic link to create an account and link it to their member profile.

When to use invitations​

  • You've imported a list of members from a CSV file and want them to create accounts.
  • You've added a member record manually but they haven't registered yet.
  • You're onboarding a batch of new members and want to invite them all at once.

Send invitations from the members list​

  1. Navigate to Admin > Membership > Members.
  2. Use the filters and selections at the top of the page to choose which members to invite. You can select individual members using the checkboxes, or invite all members on the current page.
  3. Click Send Invites to send the invitation emails.

Members who already have a ClubPal account will be skipped automatically — only members without an account will receive an invitation.

How invitation emails work​

When a member receives an invitation, the email contains:

  • A personalised greeting with their first name.
  • The name of your club.
  • A button labelled Accept Invitation that links to the registration page (or login page, if they already have an account on the platform).

Resend an invitation​

If a member hasn't accepted their invitation, you can resend it from their member record:

  1. Navigate to Admin > Membership > Members and find the member.
  2. Open the member record.
  3. If the member has a pending invitation, you'll see the invitation details including the date it was originally sent.
  4. Click Send Reminder to resend the invitation email.

Onboarding tips​

  • Import first, invite after — if you have a list of members in a CSV file, import them using the member import tool and then send invitations in bulk from the members list.
  • Check email addresses — make sure email addresses are correct before sending invitations. Members won't be able to create accounts if the invitation doesn't reach them.
  • Follow up with reminders — members who don't accept their invitation within a week may need a nudge. Use the send reminder feature from their member record.
