Linked Profiles
Linked profiles allow an administrator to connect a member's account as a managed profile under another member's login. This is useful for family accounts — for example, a parent managing a child's membership — or any scenario where one person needs to act on behalf of another.
How It Works
When a member is linked as a managed profile:
- The managing account (parent) can switch to the linked member's profile and act on their behalf — booking sessions, viewing attendance, managing membership, etc.
- The linked member (child) retains their own independent login and password. Their access is not affected.
- The link is one-directional — the parent can switch to the child, but not the other way around unless the admin creates a link in both directions.
- A member can be linked to multiple managing accounts if needed.
Linking a Profile
- Navigate to the member you want to link (the child/managed member).
- Click Actions → Link to Account...
- Search for and select the managing member (the parent account).
- Click Link Profile and confirm.
The "Link to Account..." action is also available from the member list row menu.
Requirements
- The managing member must have an active login account (they must have created an account or accepted an invitation). If they don't, send them an invitation first.
- The managing account must not have reached the maximum number of profiles allowed.
- The member cannot be linked to themselves.
Managed Account Badge
When a member has been linked as a managed profile, a Managed Account badge appears next to their name on their profile page. This badge is visible to administrators and indicates that the member's profile is being managed by at least one other account.
Notifications
ClubPal sends email notifications to both parties whenever a link is created or removed.
When a profile is linked
| Recipient | What they receive |
|---|---|
| Linked member (child) | A security notification that their profile is now being managed — who created the link, who has access, and that their own login is unaffected. |
| Managing member (parent) | An informational email confirming that a new profile has been added to their account and that they can now switch to it from the portal. |
When a profile is unlinked
| Recipient | What they receive |
|---|---|
| Linked member (child) | A security notification that managing access has been removed — who made the change, and that their own login is unaffected. |
| Managing member (parent) | An informational email confirming that the profile has been removed and they can no longer switch to it. |
All emails include a prompt to contact support if the change was unexpected. Emails are only sent if the club has email sending enabled.
Switching Profiles
Once linked, the managing account holder can switch between profiles:
- Log in to their own account.
- Use the profile switcher to select the linked member's profile.
- They can now act on behalf of the linked member.
The profile switcher shows all profiles available to the logged-in user, including their own and any linked profiles.
Edge Cases
| Scenario | Behaviour |
|---|---|
| Linked member has no login | Allowed — they can still be managed. They just can't log in independently. |
| Multiple parents link the same child | Allowed — each parent independently manages their own profile list. |
| Linked member is deleted | The member is automatically removed from all managing accounts' profile lists. |
| Managing member is renamed | The profile name in the managing account's list is automatically updated. |
Unlinking
To remove a link, navigate to the linked member's profile → Managed By section. Each managing account is listed with an Unlink button. Confirm the prompt to remove the link.
When the last managing account is unlinked, the Managed Account badge is removed from the member's profile automatically. Both the linked member and the managing account holder receive a notification email when a link is removed.
